Terms And Conditions Of Hire

RATES AND CHARGES

Prices may be subject to change due to factors beyond the control of BeeFree Motorhomes. Any changes in price affecting a client between the time of booking and payment received will be advised immediately. The company takes no responsibility for any detention, delay, loss, damage or injury that a hirer might experience no matter how it is caused or by whom. The company’s rental agreement is the sole contract for hiring the vehicle, between the company and the hirer and passenger(s). No refunds are payable on accommodation, or Motorhomes not being available, where a hirer or passenger amends, cancels or seeks to vary agreements after departure. These conditions cannot be varied or altered or waived by any employee, agent or representative of the company or by anyone providing services or facilities. The company cannot be bound by any representative or statement unless it is confirmed in writing by the company’s directors or management. Your travel agent will forward deposits and other payments to us on your behalf, but your travel agent is not our agent for the purpose of the receipt of monies.

The company reserves the right to provide a comparable standard vehicle where a booked vehicle becomes unavailable through servicing, accident, breakdown or other reasons beyond our control.

EQUIPMENT CHARGES

Freshly laundered linen and all cooking equipment, crockery and cutlery is supplied. There is a charge for additional equipment such as a  TV, barbecue, and child seat etc.

TRANSFERS

We offer a complimentary transfer service from the nearest Airport or surrounding Hotels/Motels to the agreed Pick up point. Please contact our office to arrange your transfer. The latest collection time from the Pick up point is 4.30pm so please consider your hire start date with this in mind if your flight arrival does not allow sufficient time to collect the vehicle by then. Late pick ups can be arranged in advance.

CONFIRMATION

When you receive your tentative booking advice from BeeFree Motorhomes, a deposit of 50% of the total hire (minimum $100)  is required to secure your booking.  The balance owed for your hire must be paid 21 days before the first day of hire. Read below for cancellation fees.
Major Credit Cards accepted: MasterCard and Visa only.

CANCELLATIONS

Once a booking has been confirmed and a deposit paid the booking is considered live and is subject to the cancellation policy. The amount forfeited if bookings are cancelled prior to the commencment date of the hire,  is as follows:

30 days and over: Deposit refunded (less a $30 admin charge)
20 – 29 days: 20% of total reservation cost
10 – 19 days: 40%of total reservation cost
1 – 9 days: 50% of total reservation cost
On Pick Up Date or Customer Not Showing Up: 100% of total reservation cost

No refunds for cancellations made after the travel or travel date has commenced. If the vehicle is returned early for any reason whatsoever after travel has commenced then no refund is available.

EXCHANGE RATE AND CURRENCY VARIATIONS

All credit card transactions are conducted in New Zealand dollars. Due to exchange rate fluctuations there could be some variance in the amount refunded compared to the amount initially charged. BeeFree Motorhomes does not accept any liability for variances up or down.

PAYMENTS BY HIRER

  1. The Hirer shall pay to the Owner as payment for the hire of the vehicle for the period of hire, a hire charge at the rate referred to in the rental agreement. All hire charges include New Zealand’s Goods and Services Tax (GST) and daily insurance.
  2. The Hirer acknowledges that they shall be responsible for all costs relating to the collection of any outstanding charges in relation to this agreement.
  3. In addition to the payment referred to in Clause (a) hereof the Hirer shall pay to the Owner the insurance charge at the rate referred to in the rental agreement where the insurance is not specified as being included in the daily hire rate
  4. In addition to any other payment referred to in this clause, if the Hire of the vehicle is for “limited kilometres”, or “day rate plus km”, the Hirer shall pay to the Owner on termination of the hire, a distance charge at the rate referred to in the rental agreement for each kilometre travelled over the limit. Unless specified, you have unlimited mileage for a hire of 5 days or more – mileage charges may apply to hires up to 4 days.
  5. The Hirer shall pay for all fuel, oil and coolants used in the vehicle during the time of the hire.
  6. Any sum held by the Owner from or on behalf of the Hirer in relation to this agreement will be held by the Owner as a security for the return of the vehicle and as security for or towards payment of any sums owed by the Hirer to the Owner on the termination of this Agreement. On the termination of this agreement the Owner will be entitled to apply any sum so held in payment of all amounts owed by the Hirer under this agreement and any balance if cash is held shall be refunded to the Hirer. All payments due by or to the Hirer can be collected as agreed by the Hirer elsewhere in this agreement

CHANGE OF DROP OFF / DESTINATION

If the hirer wishes to change the drop off destination after the rental has commenced, they must first obtain authorisation from BeeFree Motorhomes. Subject to the change being approved, an additional charge of up to NZ$500 may apply.

CHANGE OF VEHICLE

Should the vehicle booked be unavailable BeeFree Motorhomes reserves the right to substitute an alternative vehicle without prior notification and at no extra cost. This shall not constitute a breach of contract and does not entitle the hirer to a refund.

VOLUNTARY DOWNGRADE

Should the hirer decide to take a smaller vehicle than booked they will not be entitled to any refund.

DRIVING YOUR MOTORHOME

Hirer and drivers must be over 21 years of age and produce a current driver’s licence. New Zealand recognises driver’s licences issued by your own country, as well as International drivers licenses.

If you are a member of an Automobile Association bring your membership card with you and gain additional privileges and information on travel throughout New Zealand
The vehicle may only be driven by those persons listed on the rental agreement as drivers.
The speed limit on the open road is 100 kph (60 mph). 90 kph is the recommended limit for your Motorhome and you must not exceed 100kph. In built-up areas the limit is 50 kph (30 mph).
In windy conditions the optimal speed is 80kph so as to retain full control of the vehicle

PERSONS WHO MAY DRIVE THE VEHICLE

  1. The vehicle may be driven during the period of the hire only by the Hirer and persons named on the rental agreement, and only if they hold a valid unrestricted drivers licence appropriate for the vehicle hired.
  2. The Hirer shall not: -
    1. Sublet or Hire the vehicle to any other person
    2. Permit the vehicle to be operated without his/her authority and then only by an authorised driver named on the rental agreement and shall not drive or permit the vehicle to be driven by any person if at the time of driving the vehicle the Hirer or other person is not the holder of a current driver’s licence appropriate to the vehicle
    3. Operate the vehicle or permit it to be operated in circumstances that constitute an offence by the driver under any laws in New Zealand that relate to driving or attempting to drive with excess breath or blood alcohol or under the influence of alcohol or drugs.
    4. Operate the vehicle or permit the vehicle to be operated in any race, speed test, rally or contest, or on any closed road or non-public roadway.
    5. Operate the vehicle or permit it to be operated to propel, or tow any other vehicle
    6. Operate the vehicle or permit it to be operated in breach of the any laws in New Zealand relating to road traffic laws and regulations
    7. Operate the vehicle or permit it to be operated for the transport of more than the number of passengers that can be seated in seatbelts in the vehicle. Young children must be transported In a child restraint applicable to the age/weight of the child under New Zealand law
    8. Take the vehicle inside any area excluded in this agreement

The hirer consents to the owner checking the validity of any drivers licence offered as part of this agreement

DRIVING FINES AND INFRINGEMENTS

We will charge the hirer for any speeding or parking fines and/or associated administration costs. The administration fee per fine will be NZ$40. This will be charged to your credit card under the security bond.

FUEL

All vehicles are supplied with a full tank of fuel at the start of hire, and must be returned with a full tank at the end of your hire otherwise a refuelling fee will apply i.e. Fuel will be charged at 1.5 times the price at the pump – e.g. $1.00 per litre will be charged at $1.50 per litre to cover our time in refuelling the vehicle.

MINOR REPAIRS

If you incur any minor repair bills we will give you a refund (up to NZ$100). You will need to produce a receipt
Repairs up to NZ$100 may be affected without authorisation and will be reimbursed. For amounts over NZ$100, BeeFree Motorhomes will need to be informed in advance. Repairs will be approved provided the hirer was not directly responsible for the damage. Receipts must be submitted for any repair or the claim will not be paid.

MAJOR REPAIRS

If major repairs (over $100) are needed, protect yourself by getting us to authorise it first. Problems
encountered with the vehicle or equipment must be reported to BeeFree Motorhomes as soon as practicable. This gives BeeFree Motorhomes the opportunity to rectify the problem within the rental period. Failure to do so will compromise any claim that may eventuate after the hire is finished. In all cases the responsibility of BeeFree Motorhomes is limited to refunding for the time that the vehicle was actually in repair. No alternative vehicle hire, accommodation or food items will be paid for during down time. Malfunction of Radio/Cassette/CD players TV’s Videos, Microwave, Stove and Grill, Air-conditioning units, Heater, Fridge, Water pump, Shower and Toilet are not considered mechanical breakdowns and downtime will not be paid for these items. Retrospective claims will not be accepted.

ROAD RESTRICTIONS

Please note that vehicles are not covered by insurance when travelling on the following roads

PETS AND LIVESTOCK are not permitted in any motorhome

SMOKING is not permitted at any time in the motor home (even with the windows down!!)


PLEASE NOTE Any costs associated with cleaning the vehicle as a result of carrying animals, smoking, remnants of food, drink or any other substance spilt in the car, and removal of any odours as a result of the use of the vehicle by the Hirer, will be the sole responsibility of the Hirer.
Frozen Fish is not permitted in the freeze box  …if you experience a loss of power to the refrigerator, the frozen water can leak onto the carpet and you will be charged for the cleaning if this occurs

 

 

ACCIDENTS AND BREAKDOWNS

The liability of BeeFree Motorhomes, or its agents, extends to either replacing your vehicle with a similar one, or refunding your hire charge for any days you lose the total use of the vehicle. Any problems associated with the vehicle, including equipment failure, must be reported to BeeFree Motorhomes as soon as possible and within 24 hours in order to give us the opportunity to rectify the problem during the rental. Failure to do so will compromise any claims for compensation. We do not accept liability for any claims submitted after this period.

ROAD USER CHARGES

Road User charges are included in the hire. If the RUCs showing on the windscreen are close to the expiration mileage, we will provide a new certificate for your to take with you to replace the old one on expiry. It is your responsibility to ensure the new certificate is displayed as soon as the km shown have expired

ONE WAY HIRES

Its is possible to commence your hire in Nelson, Picton or Christchurch and finish it in either one of these destinations at no extra charge if the rental period is a minimum of one calendar month. One way hires of shorter duration are subject to availability and are likleyto  be subject to a one way relocation fee.
You can pick up or return to other New Zealand Destinations by arrangement . Please enquire about the charges for this service.

SHORT HIRES

Short hires are available and may be subject to conditions such as a limit of 150Km per day. Extra kms may be charged @ $0.35. An additional $50 cleaning fee will also apply. Conditions will depend on Specials on offer and whether the hire is in the Peak season or Off Peak season.

HIRE PERIOD

Rates are charged on a calendar day basis. If you pick up your vehicle on a Monday and return it the following Sunday this hire will be calculated as a 7 day rental. The minimum rental period hire is 5 days (see “short hires” above). You can collect from 8 am onwards on your first day of hire but must return your vehicle before 4.30pm on your final hire day. If a vehicle is returned later than 5.00pm (without prior arrangement) on the final hire day you will be charged an additional day’s hire. If the vehicle is not returned on the final day of the hire you will be charged an additional day’s hire for each day overdue plus a $150 penalty per day.

Early return of a vehicle does not entitle the hirer to a refund of the unused portion of the rental.

HIRERS OBLIGATIONS

The Hirer shall ensure that:-

  1. The water in the radiator and the battery are maintained at the proper level according to the manufacturers specifications.
  2. The oil in the vehicle and all engine coolants are maintained at the proper level.
  3. The tyres are maintained at their correct pressure
  4. All reasonable care is taken in handling and parking the vehicle and that it is left securely locked at all times when not in use. BE AWARE OF THE HEIGHT AND WIDTH OF THE VEHICLE
  5. The Hirer shall be liable for all parking, traffic fines and infringements and offences, impoundment, towage and storage fees and associated costs and will supply relevant details to the Police and or the Owner relating to any such parking or traffic infringement and offences, impoundment, towage and storage.

BOND

When you collect your vehicle we take an impression of your credit card for the bond of NZ$1500. This is the insurance excess for any single accident regardless of who is at fault, which may occur during your holiday. (See details of Insurance Excess below)   The impression of your credit card covers your accident-damage bond liability plus any extra costs such as fuel fill-up and emptying of the toilet cassette at the end of hire, or any traffic infringements, losses or breakages and extra cleaning if the vehicle is not returned clean and tidy.  You bond also covers the cost to replace keys, which have become lost or damaged, or the retrieval of keys which have been locked in a vehicle and the cost of sending replacement keys.

A credit card imprint must be on all rental agreements and must be the credit card of the main hirer unless prior arrangements have been made. We do not deduct the bond from the credit card, but merely hold the authority to deduct it in the unfortunate event of an accident or to cover the other costs outlined above.
Where a credit card is not available, a cash bond of $2000 will be held by BeeFree Motorhomes for 21 Days following the conclusion of hire.

BOND WAIVER

The minimum bond for all items covered, (excluding insurance) is $1000.  This is covered by the same credit card swipe as the insurance bond.

INSURANCE EXCESS

There is an excess/deductible of NZ$1500 for drivers 25yrs and over and $2000 for drivers  21 – 24 yrs of age.   We do not hire to drivers under 21yrs of age.  The excess covers the cost of damage to Third Party property or to the rented vehicle, including single vehicle accident, windscreen and tyre damage, towing and recovery costs, theft, fire, break in or vandalism.  This excess applies in respect of each claim.  See  below under Insurance Waiver for excess reductions.

This insurance bond does not cover the cost of the daily rental rate for the period the vehicle is off fleet and unavailable for other hires while undergoing accident repairs.

New Zealand legislation provides limited coverage for personal injury.
We strongly recommend that you have personal travel insurance while travelling.

INSURANCE EXCLUSIONS

The insurance does not cover any loss or damage in the following circumstances

  1. The vehicle is being driven outside the use of a motor home
  2. The vehicle is being driven in connection with:
    1. Racing, pacemaking, reliability trial, hill climbing or speed tests, or driven as a safety vehicle on a racetrack or trackside
    2. Advanced or high performance driver training events
    3. Any stunt, or film, video or audio recording including the preparation thereof
    4. Any experiment
    5. Recreational off roading which is not on a public road
  3. The vehicle is being driven on:
    1. A railway line or tramway lines, tracks or cable
    2. In any underground mine, quarry or tunnel (excluding public roads) excavation or cavity
    3. Any unsealed public road or private roadway or being driven on any beach or any other area listed in Clause (5) below
  4. The vehicle is being driven by any person who:
    1. Is not the holder of a licence for the appropriate class applicable to the motor home, or not listed on the rental agreement as a driver or,
    2. Is under the influence of any intoxicating substance or drug, or
    3. Has a proportion of alcohol in the blood which exceeds the legal limit (this exclusion shall apply notwithstanding that the driver may have died as a result of the accident)
    4. Has a proportion of alcohol in the breath which exceeds the legal limit
    5. Fails to supply a blood or breath sample as required by law, or
    6. Fails to stop, or remain at the scene, following an accident as required by law.
      NOTE

      1. A certificate of conviction of the driver may be used by the insurer as sufficient evidence for these exclusions to apply where the offence was committed at the time of or following the accident
      2. A certificate of analysis of the drivers blood or a reading from an evidential breath test device of the drivers breath may be used as sufficient evidence of the drivers minimum blood or breath alcohol level at the time of the accident
  5. The vehicle sustains any damage as a result of water related damage, which includes but is not limited to:
    1. Any vehicle submersion
    2. Creek or river crossing
    3. Driving through low plain flooded areas
    4. Beach driving.
  6. The hirer or any passenger causes
    1. Any damage by wilful misconduct (e.g. sitting or standing or climbing anywhere on the vehicle).

In addition to the above the following are NOT covered by insurance.

INSURANCE WAIVER

 The insurance excess can be reduced as follows:

By payment of an additional $10 per day – (Minimum payment  $100 maximum payment $200 per hire)  the excess can be reduced to $1000  for drivers 25 yrs and over or $1500  for drivers 21 – 24 years inclusive

By payment of an additional $20 per day – (Minimum payment $200 – maximum payment $400 per hire)   the  excess can be reduced to $500  for drivers 25 yrs and over or $1000  for drivers 21 – 24 years inclusive
